About this Position
We are seeking an Administrative Assistant to support a VP and two AVPs in Global Talent Management. This individual will provide advanced administrative support and ensure office systems, divisional procedures, and policies are administered effectively. The role requires a broad knowledge of company practices and involves interacting with internal and external associates and customers on various issues requiring tact, diplomacy, and confidentiality. You will assist with scheduling, program administration, and various office and departmental initiatives.
Job Responsibilities
• Schedule and maintain multiple calendars of appointments and meetings.
• Support and monitor the administration of HR and Talent program processes.
• Coordinate travel itineraries and process expenses.
• Respond to questions, requests, and research information on complex or confidential matters.
• Provide functional guidance and training to other associates as needed.
• Organize and maintain files, record-keeping systems, and office layout.
• Oversee and monitor administrative projects.
• Organize meetings (catering, booking rooms, follow-ups, etc.).
• Manage and administer department payroll and timekeeping.
• Provide backup support to other administrative associates.
• Manage various documents and spreadsheets.
• Act as a proxy for certain systems as needed.
• Support meetings, training, and conferences with preparation and logistics needs.
• Plan and participate in department initiatives such as summits, all-hands meetings, leadership offsites, and team-building events.
• Communicate pertinent information among appropriate departments.
Job Skills/Requirements
• Proven experience in administrative support, ideally within HR or Talent Management.
• Strong organizational and multitasking skills.
• Excellent written and verbal communication, with the ability to handle confidential matters.
• Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint).
• Ability to work independently and as part of a team in a fast-paced environment.
• High attention to detail, with the ability to prioritize and manage multiple tasks.
Pay Range
• Pay Range: $25-30/hr
